Propared QR Codes – FAQ
🔍 What is a QR code?
A QR code (Quick Response code) is a two-dimensional barcode that can be scanned with a smartphone to quickly access data, such as a web address. In Propared, QR code will link directly to items in your inventory.
📋 How do I generate QR codes in Propared?
- Go to the Items screen.
- Open the More Menu and select Create QR Addresses.
- Enter how many codes you want for one type of label
- Download the spreadsheet of unique QR code addresses to your computer.
- !! Do this same process again for each different type of label you are looking to print. Professional Printers will prefer to be sent 10 different spreadsheets with the exact number of QR code addresses for each label type. They do not like one massive spreadsheet that includes all of the addresses for all of the labels you are printing. This creates considerable area of error for them.
- We recommend renaming the file name to include the type of label you are requesting.
⚠️ Can I edit the QR code addresses?
No. Do not modify or duplicate QR code addresses in the spreadsheet. Each is unique and tied to Propared’s system. If you lose your sheet or are unsure which one you used, generate a new batch.

🧭 How do I use the QR codes to create inventory items?
- Apply a QR label to an item.
- Open the Propared Companion App.
- Tap the + button and scan the code.
- If unassigned, Propared prompts you to create a new item.
- Add name, photos, tags, and details — you’re done!
🔁 Can I link multiple QR codes to the same item?
Yes! This is helpful for: Items stored in boxes (e.g., wigs, hats) or redundant access points for hard-to-reach items
To link additional codes:
- Go to the item record
- Tap Actions → Link QR Code
🎭 What if I don’t want QR codes visible on stage?
Use removable or tag-based QR codes. During shows, keep them on racks, prop tables, or in books for scanning. Return them to items after the performance.
🔄 Can I reuse bar codes from another system?
Yes! Scan your existing barcode in the Propared app. If it’s unassigned, you can link it to a new item. However, for consistency, Propared recommends using its QR codes going forward.
